Configure renewal reminders without missing billing cycles

hosting-suite, resellers

Renewal reminders help customers plan payment, but their schedule is separate from WHMCS invoice notices. Review both before enabling a campaign so customers receive the intended sequence without duplicate or missing messages.

01 Set product-specific reminders

  1. Open Hosting Renewals, then Products & policies and the product's renewal settings.
  2. Review whether the product currently uses the standard schedule or custom reminder rules.
  3. Select a billing-cycle tab and choose Add reminder.
  4. Choose the WHMCS product email template and set Period (days). Positive values are before the due date, zero is the due date and negative values are afterward.
  5. Confirm the reminder, repeat for every intended billing cycle, and select Save changes.
  6. Inspect the product list and test a service on each cycle you sell.

Do product-specific reminder rules supplement or replace defaults?

A product with no custom reminders uses the standard schedule. As soon as it has a custom reminder row, even a disabled row, the standard schedule stops for that product. Adding one annual reminder therefore does not leave the standard monthly schedule running automatically.

Build the complete custom schedule for all used cycles. If restoring the standard schedule, review and remove the custom configuration through the supported controls rather than simply switching its rows off.

02 Coordinate invoice notices

Stop reminders once an invoice is issued prevents further module renewal reminders after invoicing, while WHMCS can continue its normal invoice emails. Disable auto renewal reminders affects services with automatic renewal on; services with it off can still receive reminders.

Review the customer's own reminder preference and the product's notification switches. The absence of one email does not prove the renewal engine or invoice generation is disabled.

03 Use bulk tools carefully

Add reminder for selected products can save immediately and requires the billing cycle. Verify the selection before applying it. For copied policies, inspect the broader change review because the copied policy can include more than reminders.

04 Troubleshoot a missing notice

Check service eligibility, due date, cycle, custom-rule replacement, client preference, template state and cron completion. Then inspect the WHMCS email log and delivery result. Distinguish a notice that was never scheduled from one that was generated but not delivered.

Preview templates with realistic sample details and clear links to the correct service or invoice. Avoid embedding fixed dates or prices that should instead come from the supported merge fields.
