Offer and reconcile WHMCS mass payment invoices

whmcs, resellers

WHMCS Mass Payment lets a customer settle several outstanding invoices in one transaction while retaining the original invoice records. Use it when the customer wants a convenient payment step without reorganising the underlying charges.

01 Enable and use mass payment

  1. Review whether the business wants to offer combined payment and which gateways can process the resulting amount and currency.
  2. In General Settings, open Invoices and enable the Mass Payment option for client-area use.
  3. To prepare payment administratively, open the client's Invoices tab and select the intended unpaid invoices.
  4. Choose Mass Pay, review the combined balance and proceed using the appropriate payment method.
  5. After payment, inspect the original invoices and transaction allocation to confirm that each intended balance was settled.

02 Review the invoice selection

Check that all selected invoices belong to the correct client and are still payable. Exclude a disputed, cancelled or already externally paid charge until its status is reconciled. If one selected invoice renews a domain or activates a hosting service, its payment may trigger that action.

Explain the selected invoice numbers and total before the customer authorises payment. Where a provider imposes transaction limits, use a supported alternative instead of splitting or retrying charges without checking the earlier result.

03 Keep the accounting trail clear

Mass payment is distinct from merging or reissuing invoices. The original invoices remain part of the billing history, while the combined payment is allocated through WHMCS. Do not count the temporary combined payment document as another independent debt owed by the customer.

In WHMCS 9.0, review the ledger entries that record the allocation. If a combined payment is later refunded or reversed, inspect every affected original invoice and related service. A single gateway transaction can therefore have consequences across several services.

04 Example: reconcile one payment against two invoices

The amounts below are illustrative outstanding balances after any earlier adjustments. They are not Nabtech product prices.

Record Amount to reconcile What to verify
Original invoice A NGN 5,000 The original invoice is settled through the mass-payment allocation and its associated credit records.
Original invoice B NGN 7,500 The original invoice is also settled, with the correct service or renewal associated with it.
Combined payment NGN 12,500 One successful customer payment covers the two outstanding balances.

Do not add the temporary mass-payment document as another NGN 12,500 of customer debt. WHMCS retains the original invoices and applies credit to settle them when the mass payment succeeds. If one original remains unpaid, investigate its allocation and payment records before asking the customer to pay again.

What should I check if a mass payment has only partly settled?

If one invoice remains unpaid, compare the amount received with the selected total and inspect the transaction and credit allocation. Resolve the discrepancy before asking the customer to pay the full combined amount again.
